Viewing and downloading reports

Open reporting

Practize reports summarize records already available to the signed-in practice. Depending on the active Apps and permissions, reporting can appear in Reports, in the invoice overview, or as a download action for a particular area.

The Reports App must be active before its report actions appear. Staff members also need permission to see the underlying invoices, calendars, clients, or other records. A report never grants access to records the user could not otherwise see.

Choose a reporting period

  1. Open the relevant report or report-download action.
  2. Select the From and To dates.
  3. Apply any available filters.
  4. Review the on-screen result or choose the download action.
  5. Store downloaded files according to the practice’s privacy and retention rules.

Dates use the practice configuration and the filters shown on the page. When comparing totals, use the same date range, currency, status filters, and report type. Do not add amounts in different currencies as if they were one total.

Understanding differences

A report can differ from an invoice list when the two screens use different dates or statuses. Draft, cancelled, credited, refunded, or unpaid records can also be treated differently by a particular report. Read the labels and filters shown with the result before relying on the total.

If a report is empty or incomplete:

Protect exported information

Report downloads can contain personal or financial information. Download only what is needed, keep the file in an approved location, and delete unnecessary copies according to practice policy. Do not upload a report, client list, invoice export, journal, or payment file to the AI Assistant. The assistant can explain how reporting works but cannot verify an account-specific total from a help document.
