Creating and managing invoices

Invoice tools are under Payments in the main navigation. Some screens and help links use the word Invoices.

Create an invoice

  1. Open Payments and select Create new invoice.
  2. Choose a client. Create the client first if necessary and your role allows it.
  3. Review the client and practice details shown on the invoice.
  4. Review the invoice number, issue date, due date, and currency options that are available for your account.
  5. Add at least one invoice line. Enter its description, quantity, unit price, and VAT treatment, and add a discount or comment when appropriate.
  6. When offered, select uninvoiced appointments, Events, vouchers, or services to add them to the invoice.
  7. Select Create as draft if the invoice is unfinished. Select Approve invoice only after checking the recipient, dates, lines, totals, VAT, and payment information.

Draft, approval, sending, and payment are separate states and actions. Approval finalizes the invoice workflow; it does not prove that the invoice was sent. Sending does not prove delivery to the recipient.

Find and manage invoices

Use search, status filters, and date or number sorting on Payments to locate an invoice available to your account. Open it to see the actions allowed for its current state and your role. These can include editing a draft, approving, sending, downloading, or recording payment.

Marking an invoice as paid records its state in Practize. It does not itself collect money from a card, bank account, terminal, or other provider. Confirm the external transaction separately when a payment provider is involved.

Use a credit note to correct an approved or sent invoice when that action is available. Creating or cancelling a document in Practize does not itself refund an external payment. Provider refunds require their own supported flow and confirmation.

Accounting and payment integrations can add fields or change available actions. A missing control can mean that the invoice state, country configuration, active App, provider setup, or your permission does not allow it.

If you cannot create or approve an invoice

The assistant cannot inspect a current invoice, balance, payment, refund, or provider response. Verify those on the authorized invoice and provider screens. Do not include client identity, invoice contents, bank details, card data, or payment payloads in a product-help question.
