Creating and managing clients

Create a client

  1. Open Clients.
  2. Select Add client.
  3. Enter the client’s name. This is the main required identity field.
  4. Add the information your practice needs, such as email, phone number, date of birth, address, notes, tags, or an image.
  5. Complete any country-specific or practice-specific fields that are displayed. Custom fields and staff access controls appear only when they have been configured and your role can use them.
  6. Choose the appropriate consent option. An email consent request requires a valid client email address; you can also record consent manually when that reflects the process your practice followed.
  7. Save the client.

Practize validates formats such as email, phone number, and postcode. It can also warn about duplicate identity or contact information. Resolve the displayed validation message rather than creating a second record. Account limits or missing edit permission can also prevent creation.

Creating a client does not automatically give every employee access. Calendar assignment, staff access, and role permissions determine what each user can see or change.

Find and work with clients

Use search on Clients to find a record available to your account. Filters can narrow the list by status or booking activity, and sorting can order it by name, email, phone number, or creation date. The exact filters depend on the current list and your permissions.

Open a client to use the areas available for that record. These can include appointments, invoices, messages, journals, vouchers, newsletters, or integrations. Optional areas appear only when the related feature is active and your role has access.

To change a client, open the record, select the edit action, update the permitted fields, and save. Deactivating a client keeps the record but changes its status. Merging clients is an irreversible operation: review which record will remain and how external accounting links may be affected before confirming.

Import, export, and bulk actions

The client overview can provide Import/export and bulk actions such as email, SMS, or deactivation. These controls depend on permission and enabled messaging features. Review the selected clients before applying a bulk action. Starting a message action does not prove delivery.

The assistant cannot search your client list or confirm whether a person exists. Use the authorized Clients screen for that. Do not include names, social-security numbers, contact information, clinical notes, consent records, or other personal information in a product-help question.
